Job Requirements

Job Qualifications
- Previous hotel sales experience preferred
- front office or catering experience preferred
- Marriott brand experience is a plus
- knowledge of STS, Lightspeed PMS, Cvent, and Microsoft Office preferred

Job Duties
- Review daily function sheet and event schedule
- conduct event/day-of-arrival follow-up and coordination
- update sales boards and group communication channels daily
- monitor hotel availability and communicate updates to the sales team
- follow up on pending sales items from end-of-shift reports
- review previous night group arrivals and resolve pending issues
- ensure all group billing and reservations are balanced and accurate
- monitor sales voicemail and respond promptly
- coordinate site inspections and ensure model rooms are inspection-ready
- review daily arrival lists and identify potential sales leads
- monitor VIPs, local guests, government travelers, and group arrivals
- update guest arrival workbooks and send pre-arrival emails
- handle incoming sales inquiries via phone, email, walk-ins, and online channels
- manage SFAWEB and Cvent lead platforms multiple times daily
- enter and track inquiries in STS
- create new accounts in STS as needed
- distribute leads to appropriate sales managers
- prepare and send proposals within 2-4 hours of inquiries
- assist with prospecting opportunities and follow-ups
- ensure meeting room setups are prepared and accurate
- verify event signage, internet, and AV equipment readiness
- coordinate with operations and housekeeping for meeting spaces
- participate in weekly BEO meetings and distribute event information
- prepare event packages and communicate to hotel departments
- update BEO binders with banquet checks and receipts
- ensure events meet deposit and payment requirements
- maintain detailed function sheets and group resumes in STS
- respond to all corporate account emails within 2 hours
- coordinate VIP amenities and special requests
- manage corporate account setup and rate plan requests
- create corporate booking links and maintain profiles
- process credit card authorizations and update reservations
- verify rate plan accuracy
- maintain BT and corporate account tracking workbooks
- manage group turnover process from sales managers
- coordinate signed contracts, deposits, and group setup
- maintain organized group files and tracking systems
- communicate directly with clients on rooming lists, arrival/departure, transportation, catering, VIPs, and billing
- coordinate catering selections and prepare banquet checks
- prepare and distribute group resumes and BEOs
- process final invoices, commissions, Marriott Bonvoy points, and post-event follow-up
- actualize group pick-up and final production in STS
