Job Duties

  • Prepares sales and purchase contracts
  • tracks merchandise statuses of pre-shipment
  • arranges shipments and informs all concerned parties
  • obtains, prepares, and/or processes required shipping documents
  • develops delivery order instruction (DOI) and title transfer instruction
  • arranges logistics and custom clearance
  • develops invoices, debit notes, and credit notes as necessary
  • updates inventory status
  • updates payment schedule
  • prepares/checks documents for payment
  • opens/receives Letter of Credit
  • collects accounts receivable
  • updates Accounts Receivable Trade, Accounts Payable Trade and Miscellaneous lists
  • inputs information into the company's system correctly
  • enters information to update reports such as monthly shipment/inventory report, monthly invoice summary, and monthly
  • sends/receives/files documents
  • updates unarrived inventory status
  • submits marine insurance as necessary
  • prepares documents for audit
  • monitors E-credit balance and alerts sales reps if necessary
  • seeks constant improvement in work processes
  • performs special projects and other miscellaneous duties as assigned by manager and senior management
  • supports departmental work if other employees are absent
  • may support other departments if required
  • maintains high ethical standards in the workplace
  • reports irregular issues and problems to supervisor and works to resolve those issues
  • maintains good communication with other staff and outside contacts
  • complies with all company policies and procedures
  • responsible for maintaining a clean and safe working area
