The Marketing & Sales Administrative Assistant role at LCS is a vital position on a dynamic and fast-paced senior living marketing and sales team. This role involves serving as a key administrative partner, ensuring the smooth day-to-day operations of the marketing and sales department by handling a variety of administrative tasks. You will be responsible for creating detailed reports and presentations, coordinating meetings and events, managing expense reporting, and assisting with onboarding new team members. A highly organized, proactive, and tech-savvy professional will excel in this position, especially those proficient in Microsoft Office Suite, Salesforce CRM, and other internal systems. The position directly contributes to keeping the team connected, efficient, and positioned for success while supporting the company’s mission of enhancing the lives of seniors.

In this role, you will take charge of managing email distribution lists, senior living community assignments, the SharePoint site, and contract management. You will be key in coordinating team and division meetings, including scheduling, communicating with participants, and distributing meeting materials. You will lead conference coordination for the Business Development team involving registration, travel arrangements, and preparation of presentation materials. Additionally, the role involves various administrative support responsibilities such as printer and meeting room monitoring, telephone roll-over, and serving as backup receptionist when needed.

An important part of this role includes leveraging AI tools to streamline marketing processes and supporting marketing, sales, and communications initiatives. The assistant helps develop and edit PowerPoint presentations, reports, and templates while also supporting sales training events and the bi-annual LCS Sales Conference. This position offers the opportunity to work closely with multiple teams, including Corporate Marketing, Community Marketing, Market Research, and Data Analytics, contributing to various projects across the organization. The estimated salary for this position ranges from $50,000 to $62,000, with exact compensation contingent on experience, skills, and qualifications. Travel requirements are low, estimated at 0-10%. Job Requirements

  • High school diploma or equivalent

Job Duties

  • Assists with the preparation of expenses reports for team members
  • reconciles and audits the various marketing department budgets and processes invoices
  • manages email distribution lists and senior living community assignments
  • serves as division administrator for the SharePoint site and contract management
  • assists with the onboarding of new corporate marketing team members and the disengagement of departing team members
  • schedules and manages team and division meetings, including coordinating with internal and external participants, distributing meeting materials, and handling meeting logistics
  • leads conference coordination for Business Development team, including conference registration, travel coordination, gathering presentation materials and meeting scheduling
