The Live Media Event Coordinator role is integral to Robb Report’s Live Media team, which produces over 30 distinct live experiences each year aimed at an affluent and discerning clientele. This position involves supporting the full lifecycle of event production—from planning logistics before the event, real-time management during events, through to post-event evaluations. The role demands close coordination with the team and vendors to ensure smooth delivery, high standards in partner activation, and an exceptional guest experience. Reporting to senior team members including the Vice President of Live Media and the Partnership Integration Manager, the coordinator plays a pivotal role in realizing highly curated and seamless event activations that reflect the brand’s prestige and commitment to excellence.

Additionally, the role offers an onsite-focused work environment with employees expected to work four days onsite and one day remotely, fostering a vibrant and inclusive culture conducive to collaboration and creativity. The salary is estimated around $70,500 upon hire and may vary based on skills, experience, and current employee benchmarks. Job Requirements

  • Bachelor's degree or equivalent experience
  • minimum 2 years event production experience
  • strong organizational skills
  • excellent interpersonal communication
  • creative problem-solving abilities
  • ability to work independently and collaboratively
  • capacity to manage high-pressure situations
  • willingness and ability to perform light physical labor
  • proficiency with MS Office Suite and event management software such as Airtable, Asana, Coupa, Egencia

Job Duties

  • Plan and coordinate production logistics pre-, during, and post-event
  • assist in setting, communicating, and maintaining timelines, scope of work deliverables, and priorities of event production needs for the internal team as well as vendors
  • support Vice President of Live Media and Partnership Integration Manager to ensure exemplary design, delivery and execution of partner activations at live events
  • support Guest Experience team with assets and information necessary to ensure a seamless integration of event attendees
  • coordinate load-in/load-out schedules with vendors on-location to facilitate smooth pre/post event operations and logistics
  • coordinate and execute pre-and-post event shipping of production assets to/from event venues
  • coordinate and maintain road box containing production supplies supporting needs of on-site event activations
  • travel to/from various event locations to plan and execute client facing programming
  • track key event elements and provide post-event analysis/details to the sales team to share with sponsors and partners
  • conduct and report on regular study and market review of event trends and leading vendors
  • conduct consistent venue research for event locations throughout the year and maintain a database of preferred vendors
  • participate in brainstorming and ideation supporting live event activations for partners and guests
