The Residential Gallery Sales Coordinator role plays a pivotal part within the sales operations of Howard Hughes Communities, specifically serving as the Concierge ambassador at Ward Village and the IBM building. Reporting to the Vice President of Sales Operations, this position is dedicated to delivering exceptional guest experiences through welcoming, registering, greeting, and directing visitors. The Sales Coordinator ensures the smooth operation of sales galleries and models by conducting regular quality checks and coordinating various logistical tasks such as managing daily leads distribution, appointments, and communication with internal teams and external service providers. The role demands exceptional organizational skills and the ability to multitask in a fast-paced environment.
This position is essential in facilitating the sales process, supporting the sales executives, and maintaining high standards of presentation within the galleries. The coordinator handles everything from special requests and receptions to managing equipment used for tours and client demonstrations, including GEM vehicles and hard hat tours. Additionally, the role includes liaising with operations staff and security teams to maintain a secure and well-organized environment. Job Requirements
- High school diploma or equivalent
- Minimum of 3 years customer service experience or related field
- Proficiency with Microsoft Office including Excel and Word
- Ability to work varied shifts including weekends, evenings, and holidays
- Ability to safely lift up to 30 lbs
- Excellent communication and organizational skills
- Ability to work in a fast-paced team environment
- Proof of authorization/eligibility to work in the U.S.
- Manual dexterity to operate necessary equipment
- Bilingual skills preferred but not required
- Willing to learn and adapt positively

Job Duties
- Provide guidance for guests and assistance for deliveries and/or groups
- Conduct product quality check of models and sales galleries
- Manage the day-to-day distribution of leads and walk-in guests to a Sales Executive
- Provide, coordinate and assist with the welcome reception and beverage service for guests
- Manage and check daily appointments to make sure there are no conflicts
- Monitor all lead generating reports for accuracy
- Coordinate and communicate all upcoming guest appointments with necessary parties
- Be aware of all the appointments, meetings, and construction in IBM or off-site residences for sale and notify the team of ongoing issues
- Communicate with valet, cleaning, security, and maintenance teams for special requests
- Coordinate special requests, reservations, and activities for Sales Executive’s prospects
- Assist with preparation of sales collateral and take-away gifts
- Prepare and coordinate the delivery of sales collateral
- Manage the reservations, use, and maintenance schedule of equipment including GEM vehicles
- Manage the hard hat tour equipment and use
- Identify potential areas for customer enhancements aligned with sales and marketing goals
- Communicate with Ward Village operations staff regarding special guests
- Enhance security by vigilance and reporting suspicious activity
- Provide support to EVP and VP Sales Operations with special assignments
- Restock sales galleries and floorplans
- Answer phones and distribute leads
- Maintain phone messages
- Open and close galleries and model residences
- Conduct walk-throughs and arrange for repairs and cleaning
- Contact sales team about guest arrivals
- Ensure guest registration and introduction to Sales Executives
- Maintain Salesforce and spreadsheets
- Check shared email boxes and manage lead rotation
- Maintain daily reports and office supplies
- Organize concierge binder, broker packages, and storage
- Make photocopies and coordinate shipments
- Maintain a neat work area
- Act as liaison between Residential Sales and other departments
- Travel and work in regional offices as needed
