Job Description

The Registration Coordinator position within the Foundation's Conferences and Events team offers an exciting opportunity for individuals who are passionate about making a meaningful impact through exceptional event management. This role primarily focuses on managing all aspects of event registration to ensure a smooth and seamless experience for event speakers, attendees, and staff, whether the event is virtual or in-person. Working remotely within California with some travel requirements for onsite event support, this coordinator will collaborate closely with event specialists, technology experts, and event coordinators to support a wide array of events organized by the Foundation, the California Community Colleges Chancellor's Office, and other key stakeholders.
In this role, the Registration Coordinator is entrusted with a range of responsibilities including creating and managing team calendars, maintaining department manuals, organizing shared event folders, and overseeing inventory tracking of event supplies. The coordinator plays a vital role in the data collection and storage that supports dashboard reporting and year-end reviews, ensuring that event data is accurately captured and leveraged throughout the event lifecycle. This encompasses everything from launching and maintaining registration processes, enabling waitlists, and closing registrations, to handling onsite logistics such as managing the registration desk, greeting guests, processing payments, and managing walk-in attendees.
The ideal candidate will bring at least two years of experience managing event registrations and attendee services, demonstrating proficiency with both virtual and in-person event platforms. Familiarity with customer relationship management (CRM) systems, such as Salesforce and Cvent, is highly valued, as is experience in educational or non-profit environments. Excellent interpersonal skills are paramount for representing the Foundation professionally and developing strong internal and external relationships. The position requires a high level of organizational ability to manage event details spanning catering, venue arrangements, guest invitations, technology setup, and promotional materials.

Job Requirements
- Minimum of two years of related client-side experience in registration management, attendee services, and conference logistics
- Experience supporting a team in event planning and execution
- Demonstrated event registration experience for virtual and in-person formats
- Proficiency in using CRM systems such as Salesforce and Cvent
- Strong interpersonal and communication skills
- Ability to organize and manage diverse event components
- High proficiency in Microsoft Office Suite and Google Suite
- Capability to work remotely within California with willingness to travel for in-person event support
Job Qualifications

Job Duties
- Create, manage, and update team calendars and department manuals
- Maintain shared folders and all event-related record-keeping files and programs
- Order, maintain, and manage inventory tracker stock of event supplies
- Collect and store event data for dashboards and year-end reports
- Manage the new event process including calendar additions, folder creation, project setup in Asana, Salesforce entries, and Vision Resource Center calendar updates
- Oversee the entire registration process including launch, maintenance, waitlist management, and closing registration
- Manage onsite registration desk activities including guest check-in, payment processing, walk-in attendee handling, and volunteer management
- Prepare event materials such as name badges and event supplies for in-person events
- Create and manage processes and documents for smooth onsite volunteer operations
