Job Requirements

  • High school diploma or associate's degree
  • Experience as an office assistant, receptionist or in related field
  • Ability to write clearly and help with word processing when necessary
  • Warm personality with strong communication skills
  • Ability to work well under limited supervision
  • Great communication skills
  • Valid driver license
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment
  • Professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude

Job Duties

  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Answering screening and forwarding incoming phone calls
  • Receiving, sorting, distribute daily mail
  • Helping organize and maintain office common areas
  • Performing general office clerk duties and errands
  • Assisting with company events as necessary
  • Placing lunch orders for meetings
  • Purchasing, maintaining and stocking office supplies, janitorial cleaning supplies, kitchen supplies
  • Maintaining office equipment as needed
  • Entering information into databases
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Provide basic and accurate information in-person and via phone/email
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Update calendars and schedule meetings
  • Scanning and data entry for various departments
  • Other administrative and shop administrative duties as necessary
