The Receptionist/Office Assistant role at Parker Poe’s Atlanta, GA office is a vital part of the firm’s administrative operations. This position is responsible for managing the front desk to ensure a positive first impression for all clients and visitors, as well as handling essential office support tasks such as mail processing, print and copy services, and general hospitality. The role requires someone who can efficiently juggle multiple responsibilities including answering a busy multi-line phone system, greeting guests professionally, and maintaining office areas. The Receptionist/Office Assistant reports to the Atlanta Office Administrator and is a non-exempt, in-office position that works a standard eight-hour shift Monday through Friday, with occasional overtime or weekend duties as necessary during events or special projects. This position does not oversee any direct reports but plays a critical role in supporting daily workflows and ensuring smooth office functions.
The ideal candidate will exhibit excellent customer service skills, strong communication abilities, and proficiency with standard office software such as Microsoft Word and Outlook, along with familiarity in Excel. They must be comfortable interacting with a dynamic work environment and capable of managing multiple tasks at once while maintaining a high level of accuracy and professionalism. The position also involves physical activities such as lifting up to 15 pounds and moving furniture, as well as handling deliveries and facilitating courier requests. Job Requirements
- High School Diploma/GED and two years of related experience in a professional environment or the combined equivalent of education and experience
- Front desk experience with use of a multi-line phone system
- Excellent customer service and communication skills
- Basic proficiency in Microsoft Word and Outlook
- Working knowledge of MS Excel preferred
- Ability to handle multiple tasks simultaneously in a fast-paced environment and use resources efficiently
- Familiarity with basic office equipment and procedures, as well as mail and packages
- Ability to bend, stoop, and lift up to 15 pounds and move tables, chairs, and equipment
- Valid driver’s license with a clean driving record

Job Duties
- Answer a multi-line telephone system for eight hours per day
- Greet clients and guests in a courteous and professional manner and assist them with their requests
- Serve as the central point of contact for office print and copy needs
- Handle incoming mail, packages, and courier duties
- Handle courier requests including lunch pickups and delivering or retrieving documents
- Coordinate the use of all conference rooms
- Set up conference rooms with the appropriate arrangement and assist with any audio-visual needs
- Ensure the front reception area, conference rooms, and kitchen areas are clean and organized
- Provide additional administrative assistance to multiple departments when needed
- Perform other general administrative duties as assigned
