Job Requirements

  • A degree of either an associate's or a bachelor's is preferred
  • at least 1-3 years of experience
  • must have a valid driver's license and be insurable by the agency's fleet insurance provider

Job Qualifications

  • Associate's or bachelor's degree preferred
  • 1-3 years of relevant experience
  • proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Job Duties

  • Greet and welcome visitors
  • ensure a professional and friendly reception area
  • answer and direct incoming phone calls
  • handle inquiries both in person and via email
  • maintain security protocols for visitors and log them as needed
  • manage incoming and outgoing mail, shipments, and courier services
  • manage the CFO's calendar: schedule meetings, appointments, and travel
  • assist in preparing, formatting, and distributing financial and administrative documents, reports, and presentations
  • handle confidential financial and personnel documents with discretion
  • support the CFO in organizing meetings, including preparing agendas and taking minutes as required
  • coordinate communication between the CFO, finance team, and other departments or external contacts
  • assist with invoice processing, deposits, checks, and documentation for the finance team
  • support basic bookkeeping and recordkeeping tasks as assigned by the CFO
  • maintain and organize both electronic and paper financial files to ensure audit-readiness and compliance
  • monitor and order office supplies for both general and finance-specific needs
  • ensure that reception and common areas remain organized and fully stocked
  • assist with event planning and logistics related to finance department initiatives
  • help implement finance-related policies and answer routine finance-related questions for staff as needed
  • provide back-up support to other assistants in times of absence
