We are currently seeking a professional and organized Administrative Support Specialist to join our team. This role is pivotal in ensuring the seamless operation of the office environment and front desk functions. The ideal candidate will be responsible for greeting and assisting visitors, managing communication channels such as phone calls and emails, and maintaining a professional and organized reception area. This position also encompasses scheduling and coordinating conference rooms and meetings, managing office supplies, and providing administrative support to business unit directors. In addition to these duties, the candidate will assist with event coordination and help maintain office equipment and facilities.

The role demands a high level of confidentiality, excellent communication skills, and the ability to manage multiple priorities in a fast-paced setting. Familiarity with Microsoft Office applications including Outlook, Excel, PowerPoint, and Word is essential. This position prefers candidates with an associate degree in business or a related field and over three years of experience in an administrative support capacity. Knowledge of retail business operations will be an added advantage, supporting the company’s commitment to excellence and customer satisfaction.

Job Requirements

  • Associate’s degree in business or related field preferred
  • minimum three years of experience in administrative support role preferred
  • proficiency in MS Outlook, Excel, PowerPoint and Word required
  • experience in retail business preferred
  • excellent verbal and written communication skills
  • strong organizational and multitasking abilities
  • ability to maintain confidentiality and work under minimal supervision
  • capability to occasionally lift up to 40 pounds
  • ability to work in a moderate noise level environment and manage standard office equipment

Job Qualifications

Job Duties

  • Welcome visitors by greeting them and answering or referring inquiries
  • ensure all visitors, vendors and delivery personnel sign in at the front desk and are issued a temporary visitor’s badge
  • direct visitors/vendors to the appropriate department or employee
  • manage external and internal phone calls and e-mails as required
  • oversee distribution of all incoming mail and packages
  • schedule, verify and cancel conference rooms and conference calls
  • maintain a professional reception area by ensuring cleanliness and organization representative of the company’s image
  • maintain the office breakroom and conference rooms by ordering supplies, cleaning, organizing, stocking and cleaning machines
  • maintain calendars for business unit including scheduling of meetings and conference calls
  • assist with maintaining event calendar and coordination of all office events
  • assist office manager with managing all equipment, furniture and fixtures
  • respond to written requests for information as required
  • provide routine administrative support to various business unit directors
  • support project management activities for special projects
  • handle responsibilities with confidentiality and urgency
  • contribute to team effort by accomplishing related results
