This role as a Front Desk Receptionist at Circle K is a pivotal position that enhances the company's operations by managing the initial contact point for visitors, vendors, and internal staff. The Front Desk Receptionist is responsible for greeting and assisting visitors, directing them appropriately, and assuring that all guest-related protocols, such as signing in and visitor badge issuance, are meticulously followed to maintain security and professional standards. A key part of the job involves handling both internal and external communications, including answering phone calls and managing emails, which directly supports the efficiency of various business units. The individual in this role is also tasked with managing logistical elements such as scheduling, verifying, and canceling conference rooms and conference calls, which is crucial for seamless business operations.
The Front Desk Receptionist maintains the reception area and office spaces, ensuring they are clean, organized, and reflective of Circle K’s professional image. Regular upkeep of common areas such as break rooms and conference rooms—including ordering supplies, organizing, and cleaning—is another important duty. The position requires proficient calendar management skills to coordinate meetings and other events for the business unit. Additional responsibilities include assisting with office events, managing equipment and office furniture, responding to written information requests, and providing administrative support to business unit directors. Job Qualifications
- Associate's degree in business or related field preferred
- 3 years of experience or more preferred in administrative support role
- experience with MS Outlook, Excel, PowerPoint, and Word required
- knowledge of retail business preferred
- strong verbal and written communication skills
- high level of organization skills to manage multiple and constantly changing priorities
Job Duties
- Welcomes visitors by greeting them and answering or referring inquiries
- ensures all visitors, vendors and delivery personnel sign in at the front desk and are issued a temporary visitor's badge
- directs visitors/vendors to the appropriate department or employee
- manages external and internal phone calls and e-mails as required
- oversees distribution of all incoming mail and packages
- schedule, verify and cancel conference rooms and conference calls
- maintain a professional reception area ensuring cleanliness and organization representative of the company's image
- maintain the office breakroom and conference rooms including ordering supplies, cleaning, organizing and stocking
- maintain calendars for business unit including scheduling of meetings, conference calls
- assist with maintaining event calendar and coordination of all office events
- assist office manager with managing equipment, furniture, fixtures
- respond to written requests for information as required
- provide routine administrative support to various business unit directors
