Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year experience in office administration or related field
  • Ability to operate multiline telephone systems
  • Proficiency with fax machine and standard office equipment
  • Excellent communication and interpersonal skills
  • Ability to lift up to 40 lbs occasionally
  • Capability to sit for extended periods
  • Manual dexterity for keyboarding and repetitive tasks
  • Ability to bend, crouch, or stand as required

Job Qualifications

  • 1+ years general office administration experience
  • Proven ability to multi-task in fast-paced office environment
  • Quick learner, detail oriented and self-motivated
  • Construction or insurance industry experience preferred
  • Strong written and verbal communication skills

Job Duties

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department
  • Takes messages or transfers calls to voice mail when appropriate personnel are unavailable
  • Answers questions about organization and provides callers with address, directions, and other information
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Receives, sorts, and routes mail, and maintains and routes publications
  • Orders, receives, and maintains office supplies
  • Manages the main fax machines, assists users, sends faxes, and retrieves and routes incoming faxes
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents as necessary
  • Performs clerical duties such as filing
