The role of Receptionist within the Intake Department is a critical position that serves as the primary point of contact for clients, families, and visitors entering the facility. The Receptionist’s responsibilities go beyond traditional front desk duties by actively supporting the intake process, managing administrative and clerical tasks, and ensuring compliance with confidentiality regulations such as HIPAA. The Receptionist will greet clients and visitors courteously, manage phone communications efficiently, and provide essential information regarding the facility's services and intake procedures. Beyond initial contact, the role includes scheduling intake assessments and appointments, processing client admission documentation, and ensuring all forms and client information are accurately entered and maintained in electronic health records (EHR) systems.

Additionally, the Receptionist supports the intake team with various clerical tasks, manages the intake department's communication channels, and collaborates with internal staff to facilitate a seamless client intake experience. This position demands a high level of professionalism, empathy, and attention to detail, particularly in managing sensitive information and handling individuals who may be in crisis. The ideal candidate will have previous experience in healthcare or behavioral health settings, proficiency in relevant software, and strong organizational and communication skills. Job Requirements

  • High School Diploma or equivalent
  • Prior experience in a healthcare, behavioral health, or substance use treatment facility
  • Strong organizational skills
  • Excellent communication skills
  • Proficiency in Microsoft Office Suite
  • Ability to manage multiple tasks effectively
  • Knowledge of HIPAA regulations
  • Bilingual (English/Spanish) preferred

Job Qualifications

  • High School Diploma or equivalent
  • Associate’s degree preferred
  • Prior experience in a healthcare, behavioral health, or substance use treatment facility strongly preferred
  • Strong organizational, communication, and customer service skills
  • Proficient in Microsoft Office Suite and electronic health record systems (experience with NJSAMS or similar system a plus)
  • Ability to manage multiple tasks in a fast-paced environment
  • Knowledge of HIPAA and confidentiality regulations
  • Bilingual (English/Spanish) preferred

Job Duties

  • Greet clients, visitors, and staff in a professional and respectful manner
  • Answer and direct incoming phone calls
  • take and deliver accurate messages
  • Provide general information about the facility’s services and intake procedures
  • Maintain the intake area, ensuring it is organized, welcoming, and confidential
  • Assist with scheduling intake assessments, appointments, and follow-ups
  • Collect, verify, and process client documentation for admission
  • Enter and update client information into electronic health records (EHR) or intake systems
  • Ensure all required intake forms are completed and securely filed in accordance with HIPAA and facility policies
  • Assist intake staff with administrative tasks such as photocopying, scanning, filing, and faxing
  • Coordinate with counselors, case managers, and medical staff to support client intake flow
  • Monitor and manage the intake department’s email and other communication channels
  • Handle confidential and sensitive information with discretion and professionalism
  • Report any unusual situations, safety concerns, or client crises immediately to supervisory staff
  • Perform other clerical and support duties as assigned by the Intake Supervisor or Program Director
