Job Requirements

  • high school diploma or equivalent
  • prior experience in front desk or office management preferred
  • strong verbal communication skills
  • ability to use Microsoft Office and basic office technology
  • excellent organizational skills
  • ability to work from 8:30 am to 5:30 pm Monday through Friday
  • punctuality and professional demeanor
  • ability to assist with conference room technology

  • ability to assist with technology in conference rooms including Cisco Webex phone and video calls, HDMI port connections, screen share and Guest Wi-Fi access

Job Duties

  • provide a warm, professional welcome to guests, both in person and by phone
  • promptly answer and direct incoming calls
  • accurately relay messages via email
  • notify employees of guest arrivals and assist with conference room setup and breakdown
  • coordinate and manage conference room and visitor office bookings
  • oversee daily meetings, events, and catering needs
  • receive and direct deliveries
  • arrange local messenger services and sort/distribute daily mail
  • maintain organized mailroom, copy rooms, pantry, kitchen, and lounge areas
  • support staff with administrative tasks such as scheduling, filing, scanning, and copying
  • manage office and kitchen supply inventory including ordering, stocking, tracking deliveries, and maintaining vendor relationships
  • create and maintain efficient systems and best practices for office operations including budget tracking
  • troubleshoot and resolve office or building issues through appropriate channels
  • maintain an up-to-date Reception Handbook with all relevant procedures and information
