Job Requirements
- High school diploma or equivalent
- Some college education required
- Associate’s or Bachelor’s degree strongly preferred
- Must be able to lift up to 15 lbs occasionally
- Ability to sit for up to 8 hours a day
- Ability to stand and walk occasionally
- Maintain a neat, clean and well-groomed appearance
- Must demonstrate extremely polished phone etiquette
- Strong attention to detail
- Reliable and dependable
- Ability to exercise sound judgment
- Good communication skills
- Can work with minimal supervision
- Must demonstrate a proactive and can-do attitude
Job Qualifications
- Minimum 2-3 years of receptionist or administrative assistant experience
- Extremely polished phone etiquette skills
- Professional appearance and demeanor
- Strong work ethic
- Ability to build positive working relationships within an organization
- Efficient with minimal supervision
- Ability to multi-task and handle multiple projects
- Sound judgment and decision making skills
- Exceptional verbal and written communication skills
- Good problem solver and creative thinker
- Proficiency in MS Office applications including Outlook, Word, Excel, PowerPoint
- Ability to work additional hours when needed
Job Duties
- Answer incoming phone calls and direct to appropriate person or department
- Screen incoming phone calls as appropriate and transfer as necessary
- Serve as first point of contact for club members directing them to scheduled appointments
- Take food orders to go for club members
- Maintain knowledge of restaurant menus and meeting room calendars
- Send daily email communications to in-house departments for events
- Update and distribute phone extension lists
- Sort and distribute incoming mail
- Assist catering and F&B departments with event seating and layout
- Maintain reservations log for special events and communicate status
- Ensure printers are stocked with paper and toner
- Perform clerical duties such as filing, photocopying and transcribing
- Create special events menus approved by catering and F&B
- Maintain lost and found for non-valuable items
- Coordinate transportation arrangements for members with accurate pricing
- Handle spa appointment bookings
- Assist with barbershop reservations and process charges
- Provide vehicle gate forms and applications for members and employees
