The role of a Receptionist at In The Zone is essential in creating a positive first impression and ensuring efficient communication within the organization. As a Front Desk Receptionist, you will be the primary point of contact for visitors, parents, employees, and vendors, playing a pivotal role in supporting daily office operations. Your responsibilities include managing phone calls, greeting visitors warmly, maintaining security protocol for children during pickup and drop-off, and handling various clerical duties such as sorting mail, maintaining records, and operating office equipment. This position demands a high level of organization, punctuality, excellent communication skills, and the ability to multitask effectively in a fast-paced setting.

The Receptionist must also be vigilant in monitoring attendance, ensuring accurate signing in and out of participants, and performing head counts regularly to comply with safety policies. Knowledge of emergency procedures and the ability to respond promptly to incidents is vital. Additionally, this role involves managing supplies, monitoring inventory, and supporting payment processes, demonstrating a versatile skill set. Job Requirements

  • High school diploma or GED
  • Ability to adapt to the center’s needs and hours
  • Current child and adult CPR and First Aid certification or willingness to obtain
  • Reliable transportation to and from work
  • Eligibility and passing of MSDH Background Check
  • Typing speed of over twenty words per minute
  • Familiarity with Microsoft Office programs

Job Qualifications

Job Duties

  • Understands and demonstrates attendance and punctuality are vital
  • Ensure that all participants in the child care programs leave the site only with authorized persons and are signed in and out accurately
  • Ensure roll call is taken, accurate and head count is accurate throughout the day
  • Answer and direct phone calls in a polite and friendly manner
  • Welcome visitors in a warm and friendly manner, and answer any questions visitors have
  • Maintain reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Keep detailed and accurate records of visitor requests and of calls received
  • Receive deliveries
  • sort and distribute incoming mail
  • Take inventory of supplies and restock as needed
  • Maintain the general office filing system
  • Be familiar with emergency procedures and follow them
  • Accept and properly receipt payments made to In The Zone
  • Answer any and all questions regarding any information that pertains to In The Zone Programs
  • Know and follow all In The Zone Policies and Procedures
  • The ability to establish and maintain effective working relationships with coworkers, supervisors, other agencies, participants, teachers, community leaders, and the general public
  • Be able to perform any other tasks that would be related to the operation of In The Zone
