Job Description
The organization hiring for the Receptionist position operates within an educational environment, serving K-8, middle, and high schools as well as the central office. This institution is committed to providing a supportive and efficient administrative atmosphere to enhance the overall educational experience. With a focus on smooth operational processes and excellent customer service, the office staff plays a vital role in maintaining organized communication and administrative functions that support both students and staff. The environment is professional and fosters positive relationships between school personnel, students, families, and the wider community. The institution values effective collaboration, clear communication, and the development of strong working relationships among various stakeholders in the education system.
The role of Receptionist is an essential noncertified position classified under Grade 19 with a nonexempt FLSA status and is scheduled for a regular Monday through Friday workweek. This position does not require an employment contract, making it accessible for candidates seeking stable, scheduled work in a school or central office setting. The Receptionist’s main responsibilities involve performing general office duties including handling telephone calls, greeting visitors, processing both incoming and outgoing mail, and assisting staff with various administrative tasks. The Receptionist is also responsible for maintaining and updating records – often involving sensitive student information – and preparing documents to support school and office operations.
The ideal candidate will demonstrate considerable knowledge of general office procedures and possess strong skills in Microsoft Office applications such as Word, Excel, and PowerPoint, as well as familiarity with Google Apps. Exceptional customer service skills are critical in this role, as the Receptionist will be a primary point of contact for students, parents, staff, and visitors. Effective time management and the ability to communicate clearly and concisely both orally and in writing are essential to ensure the smooth flow of information and collaboration between all parties.
Additional duties include administering medication to students following established policies, organizing the health room supplies, providing first aid when necessary, notifying employees about visitors and mail, assisting with typing and word processing, and maintaining routine office files including student records and instructional materials. The Receptionist will also supervise and respond to the needs of students, making contact with parents or guardians as needed to ensure student welfare and safety.
The work environment for the Receptionist is professional with a generally low to moderate noise level. The position routinely involves using standard office equipment such as computers, scanners, and copiers. Physical demands are light but may require occasionally exerting up to ten pounds of force. Interaction with various groups including staff, students, parents, vendors, and external agencies is a routine part of the job, emphasizing the importance of interpersonal skills and the ability to maintain a calm, welcoming presence.
This comprehensive role is an excellent opportunity for individuals with a high school diploma or equivalent who have experience in clerical or administrative support in educational settings or similar environments. The Receptionist position plays a pivotal part in fostering an organized, communicative, and efficient office that supports the educational mission of the school or district.
