Job Description
Our organization is a dedicated and professional establishment focused on delivering exceptional administrative support within a dynamic work environment. We take pride in fostering a welcoming atmosphere where every interaction with patients, clients, and visitors reflects our commitment to service excellence and professionalism. As part of our mission, we ensure smooth front office operations and maintain effective communication channels to support our team and guests. Our facility operates with efficiency and integrity, emphasizing confidentiality and respect for all individuals who walk through our doors. We are currently seeking a reliable and motivated Administrative Receptionist to join our team to help maintain our standards and support our daily operations.
The Administrative Receptionist role is vital in providing general administrative and clerical support throughout the organization. This position requires a friendly and positive demeanor to greet and welcome visitors, helping to create an inviting and professional first impression. Key responsibilities include answering telephone calls, handling messages, managing visitor check-ins, scheduling appointments, maintaining meeting room bookings, and ensuring the reception area is tidy and inviting. This role also involves managing incoming and outgoing mail and maintaining visitor sign-in logs to enhance security and record keeping.
Confidentiality is a critical component of this role, as the receptionist will be entrusted with sensitive information, including protected health information. The successful candidate will agree to the strict non-disclosure of any resident information and promptly report any suspected breaches to the Administrator. Although this role involves no supervisory duties, it requires a high level of responsibility and adherence to privacy regulations. Previous administrative or receptionist experience is preferred, and proficiency with Microsoft Office suite and multi-line phone systems is required. Strong communication and interpersonal skills are essential for effectively interacting with managers, employees, patients, and clients. The working environment demands both sitting and standing for prolonged periods and occasional lifting of up to 25 pounds. This position offers an excellent opportunity for individuals looking to contribute to a supportive work culture and develop their administrative career within a caring and professional setting.
