Job Requirements
- High school diploma or equivalent
- 6+ months professional office administration experience
- Proficiency with Microsoft Office Suite
- Ability to organize and prioritize numerous tasks under time constraints
- Ability to work well within a team-oriented environment
- Interpersonal skills necessary for courteous communication by telephone and in person
- Ability to work in the Washington, D.C. office from 8:30 to 5:00 five days a week with availability for overtime as needed
Job Qualifications
- High school diploma or equivalent
- 6+ months professional office administration experience, preferably in a law office
- Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
- Demonstrated understanding of law office and departmental policies and procedures is preferred
- Ability to organize and prioritize tasks effectively under time constraints
- Strong interpersonal skills for communication with a diverse group of visitors, vendors, attorneys, and staff
- Ability to work well within a team-oriented environment
Job Duties
- Answer phones and direct calls
- Operate a multi-line telephone console to relay incoming, outgoing and intra-system calls
- Direct telephone calls to appropriate attorneys and staff
- Take messages for visitors and staff
- Meet and greet clients and visitors to the office
- Ensure proper clearance and routing of visitors using the receptionist visitor management kiosk
- Provide visitor badges to all visitors
- Schedule conference rooms and attorney visiting offices and maintain records
- Contact building management regarding maintenance and visitor/vendor access issues
- Schedule video conferences and keep track of connections and equipment
- Arrange conference calls
- Assist with hoteling software and staff/attorney workspace scheduling issues
- Assist with coordination of office social events such as summer outings, holiday parties, monthly socials, and staff appreciation day
- Assist with administrative tasks to support the Operations Department, Practice Groups, and other administrative groups
- Provide back-up Office Services support including mail processing, print jobs, conference room set-ups, and inventory management as needed
