Job Duties
- Monitor and maintain inventory of routine office supplies
- coordinate scheduling of Foundation's shared conference spaces
- assist other departments with administrative needs
- serve as liaison for vendors of office supplies and services, including cleaning contractors
- serve as a member of the UM Foundation Safety Committee
- coordinate work orders, repairs, and maintenance of office space as necessary
- open and close the Foundation reception area punctually according to office hours
- arrive by 7:45 AM to open the office and prepare operations by 8:00 AM
- answer incoming telephone calls, transferring information or taking messages as appropriate
- maintain neat appearance and stocking of reception and refreshment areas, mail room, and shared conference spaces
- monitor and maintain neat appearance and stocking of staff breakroom
- process outgoing mail and deliveries, including express and bulk mailings as directed
- receive and process incoming mail and deliveries according to established procedures and controls
