This position, based within one of PruittHealth's facilities, focuses on performing essential day-to-day administrative, secretarial, and receptionist duties, ensuring the efficient operation of the office and support services. The employee will be a vital link between residents, families, visitors, and the healthcare team, managing communications and maintaining confidentiality in accordance with privacy regulations and company policies. The role supports both administrative and operational functions, assisting with activities such as payroll preparation, handling correspondence, and monitoring emergency situations in the facility. Employee responsibilities extend to greeting guests and residents, managing office equipment, maintaining accurate records, and collaborating closely with supervisors and department heads to address concerns or issues effectively.

Job Requirements
- High school diploma or equivalent
- At least six months experience in payroll, insurance and/or clerical position

- Prefer two years of experience in payroll, insurance and/or clerical position
- Courses in payroll, bookkeeping, office procedures, and related subjects
Job Duties
- Answers incoming telephone calls and direct to appropriate person or department
- Maintains confidentiality of all pertinent personnel information in accordance with the Privacy Act
- Types documents, reports, letters at least 50 words per minute with high accuracy
- Recognizes, responds to and/or reports resident emergency situations immediately
- Communicates with and supports residents, families, visitors
- Operates copier, office machines, computer as directed
- Prepares and mails statements in accordance with established billing procedures
- Assists in preparing time cards and distributing payroll checks
- Maintains current file and listing of residents, emergency phone numbers of on-call personnel, key personnel
- Greets visitors, guests, and monitor or report suspicious persons or situations
- Receives, sorts and distributes mail
- Refers difficult and conflicting interactions or situations to Administrator or appropriate department head
- Conducts annual salary and wage surveys and reports findings to the Administrator
- Assists in reporting complaints and grievances
- Assists with completing forms, reports, supply inventory
