The Receptionist position at Catholic Charities Maine plays a crucial role as the welcoming face and voice of Central Services. This part-time role begins in Portland from March through September 2026 with under 20 hours per week on-call. Starting in October 2026, the position transitions to Lewiston at the Priory attached to the Basilica with the possibility to expand to 20-29 hours weekly, maintaining a regular and flexible schedule. Office hours run Monday through Friday, from 8:00 a.m. to 4:30 p.m., including a half-hour lunch break. This role is ideal for someone who delights in engaging with people, managing both quieter and busy environments efficiently, and ensuring that the front desk experience is warm, organized, and safe.
As the first point of contact for visitors, staff, volunteers, and guests, the Receptionist delivers exemplary customer service through a cheerful and professional demeanor. The role is multifaceted, including answering and routing phone calls and emails, maintaining front desk safety, providing administrative support across Central Services, and managing daily mail and check logs. The Receptionist will also perform data entry tasks, scanning, and filing, often involving Excel-based functions, highlighting the importance of accuracy and attention to detail. Handling confidential and sensitive information with discretion is a fundamental aspect of this position, ensuring trust and professionalism.
This position demands the ability to work independently during slower periods while efficiently managing high-volume activity during peak times. Job Requirements
- High school diploma or equivalent
- minimum of two years experience in a responsible administrative or reception role
- demonstrated ability to handle confidential and sensitive information
- strong customer service skills
- proven accuracy with detail-oriented work
- ability to multitask and shift between varying responsibilities
- proficiency in Microsoft Word and Excel including Excel data entry
- comfort with scanning and other office software systems
- strong focus on data entry and accuracy

Job Duties
- Greet all visitors, staff, volunteers, and guests with a joyful, cheerful, and professional demeanor
- answer and route incoming phone calls and emails
- maintain front desk safety and security by being alert to who is coming and going
- provide administrative support to Central Services departments
- process daily mail and create the daily check log
- perform data entry, scanning, and filing including Excel-based tasks
- handle confidential and sensitive information with discretion
- work independently during quieter periods and manage high-volume activity during busy times
- assist with Volunteer Service
