Job Requirements
- One year of experience as a receptionist or in handling a high volume of calls
- Experience performing clerical or administrative duties
- Ability to communicate in a business environment in English and Spanish, both verbal and written at an intermediate level
- Basic computer skills in MS Word, Excel, and Outlook
- Pleasant disposition and tone of voice
- Prompt arrival and regular attendance at work
- Well-developed interpersonal skills
- Ability to meet and deal effectively with customers, executives, and the general public
- Strong time management and organizational skills and ability to prioritize and be detail oriented
- Ability to follow procedures and instructions
- Ability to work with limited supervision, multitask and possess strong initiative
- Ability to work extended hours, holidays and/or weekends as needed
- Must have or be able to obtain a TWIC card within 30 days of employment
- High school diploma or equivalent preferred
- Intermediate computer skills preferred

Job Duties
- Answers telephone and routes calls in a prompt, courteous, and efficient manner
- Welcomes on-site visitors, determines the nature of business, announces visitors to appropriate personnel, and arranges for escort as appropriate
- Registers visitors in the system and issues passes to enter the building
- Requests proper identification of employees and visitors to ensure terminal security
- Registers employee TWIC ID into the AS400 system and grants access to the terminal
- Monitors expiration of employee credentials and assists with renewal processes
- Receives all incoming packages and notifies employees for pick-up
- Maintains conference room and training room calendars for meetings and trainings
- Coordinates terminal tours with management and arranges for lunch and refreshments
- Refills coffee machine and refrigerators in office and meeting rooms
- Maintains office supplies inventory, places replenishment orders, and distributes supplies
- Prepares monthly reporting for Caribbean Ship Associations
- Assists with preparation and distribution of company-related communications
- Notifies Human Resources of disruptive visitors and operational issues
- Assists other departments with clerical duties as needed
- Performs additional related duties as assigned
