Job Requirements

  • One year of experience as a receptionist or handling a high volume of calls
  • Experience performing clerical and administrative duties
  • Ability to communicate in English and Spanish at an intermediate level both verbally and in writing
  • Basic computer skills in MS Word, Excel, and Outlook
  • Pleasant disposition and tone of voice
  • Prompt arrival and regular attendance at work
  • Well-developed interpersonal skills, team player
  • Strong time management and organizational skills with ability to prioritize and attention to detail
  • Ability to follow procedures and instructions
  • Ability to work with limited supervision, multitask, and possess strong initiative
  • Ability to work extended hours, holidays, and/or weekends as needed
  • Must have or be able to obtain a TWIC card within 30 days of employment

  • Ability to follow procedures and work independently with minimal supervision
  • Capability to multitask and demonstrate strong initiative
  • Flexibility to work extended hours, holidays, and weekends as needed
  • Must have or be able to obtain a TWIC card within 30 days of employment
  • Preferred high school diploma or equivalent
  • Preferred intermediate computer skills in MS Word, Excel, and Outlook

Job Duties

  • Answers telephone and routes calls in a prompt, courteous, and efficient manner
  • Welcomes on-site visitors, determines the nature of business, announces visitors to appropriate personnel, and arranges for escort as appropriate
  • Registers visitors in the system and issues passes to enter the building
  • Requests proper identification of employees and visitors to ensure terminal security
  • Registers employee TWIC IDs into the AS400 system and grants access to the terminal
  • Monitors employee credential expiration and assists with renewals including preparation of necessary documentation
  • Receives incoming packages and notifies employees for pick-up
  • Maintains conference and training room calendars and coordinates terminal tours with management
  • Refills office coffee machines and refrigerators as needed
  • Manages office supplies inventory, places orders for replenishment and distributes supplies
  • Prepares monthly reporting for Caribbean Ship Associations
  • Assists in preparation and distribution of company communications such as newsletters and memorandums
  • Notifies Human Resources of any disruptive visitors or system issues
  • Supports operational departments with clerical duties as needed
  • Performs other related duties as assigned
