Job Requirements

  • High school diploma or GED
  • prior experience as receptionist, front desk clerk, switchboard clerk or customer service
  • computer skills including MS Excel, MS Word, MS Outlook, MAS200 and data entry
  • typing speed of 45 wpm
  • ability to handle clerical and administrative tasks
  • preferred proficiency in SAGE100
  • bilingual in English and Spanish preferred

Job Duties

  • Interact and greet customers face-to-face on an appointment or walk-in basis
  • coordinate appointments and visitors with the appropriate personnel/departments
  • answer multi-line switchboard and route all incoming calls to company personnel
  • take accurate notes of all messages and forward them to proper personnel
  • receive and distribute all incoming mail and faxes to corresponding employee mailboxes
  • update and maintain all front desk listings (i.e., extension list, phone instructions)
  • coordinate all federal express deliveries upon request
  • replenish paper supplies for copier, printer and fax machines
  • prepare basic to moderate level communications, spreadsheets, memos, letters etc.
  • process all outgoing mail (i.e., place stamps, seal envelopes, drop offs at post office)
  • facilitate monthly birthday celebrations for staff by ordering/picking up supplies and informing staff members through electronic memo correspondence
  • conduct drop offs and pickups for packages at vendor locations
  • ensure the front lobby is neat and presentable
  • verify all UPS and parts shipments for processing and invoicing, research discrepancies
  • update and maintain delivery and warranty logs
  • assist accounting with data entry, sorting, organizing, scanning and other clerical duties
  • perform other clerical tasks and miscellaneous projects as needed
