We are currently seeking a reliable and organized Receptionist to join our frontline team at our Macon, GA facility. This is a full-time, first-shift position designed for a detail-oriented professional who thrives in a fast-paced manufacturing environment. The Receptionist will be the face and voice of Prince Service & Manufacturing, serving as the initial contact point for employees, visitors, and vendors. The role requires strong multitasking abilities to manage a busy front office, including taking calls through a multi-line phone system, greeting stakeholders, and facilitating smooth communication throughout the facility. In addition to handling inquiries and ensuring a professional, responsive experience, the Receptionist will support leadership by managing complex calendars, scheduling travel and meetings, and preparing necessary materials.

The role also involves critical administrative responsibilities, such as preparing onboarding packets for new hires, handling mail and package logistics, coordinating supplies and vendors, and maintaining organized digital and physical filing systems. Attention to document confidentiality, accuracy, and presentation is critical. The ideal candidate must be proactive, showing initiative in identifying and implementing process improvements that enhance operational efficiency and customer service at the front desk. Maintaining a neat and professional reception area is also an essential part of the position. This is a dynamic role requiring someone dependable, flexible, and equipped with the communication and organizational skills to handle interruptions and competing priorities seamlessly.

Job Requirements

  • minimum of 3 years administrative or front office experience

Job Duties

  • serve as the first point of contact for visitors, employees, and vendors by managing front-desk interactions and multi-line phone system, ensuring inquiries are handled promptly, messages are accurate, and all interactions reflect a professional, responsive experience
  • manage calendars and travel logistics for the leadership team, including scheduling meetings, preparing materials, and ensuring efficient coordination of all arrangements
  • prepare and distribute new-hire onboarding packets and employment forms to prospective employees
  • manage daily office logistics, including mail and package distribution, supply inventory, and vendor coordination, ensuring the front office remains organized, stocked, and professional
  • manage document preparation, scanning, and digital filing systems, ensuring accuracy, confidentiality, and professional presentation of records and reports
  • maintain and update administrative forms, templates, and logs to ensure consistency and efficiency in front-office operations
  • identify and recommend process improvements to enhance efficiency, communication, and customer service
  • maintain a clean, organized, and professional reception and supply area
  • perform other duties as assigned by leadership
