The Home Office Receptionist position at Community Coffee offers an important frontline role within the Risk and Assets Department, reporting directly to the Corporate Facilities Manager. This on-site position plays a critical part in shaping the first impression of visitors, callers, and guests by providing a warm, professional, and efficient welcome. The Receptionist is responsible for a wide array of administrative and clerical duties that keep the office running smoothly. Key responsibilities include managing all incoming communication channels such as multi-line telephone systems and email inquiries, greeting visitors and issuing identification badges, and maintaining security protocol compliance by logging visitors and monitoring the reception area and security cameras. The role also supports internal coordination efforts, including shipping and receiving company-donated products and equipment. The Receptionist collaborates with multiple departments to facilitate special events, projects, and communications, proving to be a versatile and vital member of the corporate team.
Successful candidates will need to demonstrate strong communication skills, confidentiality, and exceptional customer service. Job Requirements
- High school diploma or equivalent
- one year of related experience and/or training, or equivalent combination of education and experience
- proficiency in Microsoft Office Suite
- knowledge of digital multi-line telephone systems preferred
- strong communication skills
- ability to maintain confidentiality and manage multiple priorities
- provide excellent customer service

- internal experience with Community Coffee considered a plus at the discretion of hiring manager with HR approval
Job Duties
- Promptly and professionally greet all callers and visitors to the Home Office
- operate the telephone console during business hours to receive incoming calls, transferring them promptly to the appropriate individual, location, or voicemail
- respond accurately and courteously to general company inquiries via phone, email, and in person, maintaining confidentiality of company and employee information at all times
- announce visitors to employees and issue identification badges, logging visitor, employee, contractor, vendor, auditor, and temporary employee information in compliance with building security policies and procedures
- monitor premises within view of the reception area and via security cameras in the absence of the Facilities Supervisor
- promptly report equipment malfunctions, building issues, security concerns, or solicitations to the Facilities Supervisor or designated backup
- coordinate with internal and external contacts to arrange shipment or pickup of company-donated products and equipment
- maintain a safe, clean, and organized reception area in compliance with procedures, rules, and regulations
- document and communicate actions, irregularities, and ongoing needs to ensure continuity among work teams
- perform a variety of administrative duties including filing, faxing, copying, distributing memos, correspondence, and reports, as well as creating and proofreading documents
- receive and distribute incoming mail, packages, deliveries, and messages promptly
- direct employees, contractors, and vendors to the Facilities Supervisor for service requests or work orders
- provide support to other departments for special events, projects, and communications as requested
- may be asked to perform additional duties as necessary
