The position of Receptionist at HDR presents an important opportunity to join a forward-thinking, employee-owned organization. As the first point of contact, the Receptionist plays a critical role in ensuring a welcoming and organized atmosphere at the office. This full-time, in-person role involves greeting visitors, answering and routing phone calls, managing conference room scheduling, and supporting staff members through various administrative duties. Maintaining cleanliness and order at the front desk and common areas, managing office inventory and supplies, coordinating with outside vendors, and handling sensitive information with professionalism are among the essential responsibilities. In addition, the Receptionist assists with meeting preparations, office equipment operation, and other projects that contribute to smooth daily business operations.

Job Requirements

  • High school diploma or equivalent
  • Self-motivated, detail-oriented professional, ability to multitask a must
  • Proficiency with MS Office including Word and Outlook
  • Ability to handle confidential information
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Excellent verbal and written communication skills including grammar, punctuation, proofreading, spelling and telephone skills
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Job Qualifications

  • High school diploma or equivalent
  • Strong interpersonal skills and the ability to effectively work with a variety of personalities
  • Professional, self-motivated, well-organized, and detail or task-oriented
  • Effective problem-solver with the ability to meet deadlines
  • Experience working in an office environment preferred

Job Duties

  • Provide support for staff as needed, greet employees and visitors, schedule conference rooms, answer and direct telephone calls, deliver messages, and distribute incoming mail and packages
  • Maintain clean and organized front desk and common areas
  • Manage inventory of office supplies
  • purchase supplies and equipment when needed
  • Provide meeting setup and other miscellaneous tasks and projects as needed
  • Coordinate with outside vendors and contractors
  • Coordinate and manage meeting facilities and arrangements
  • Operate office machinery such as computers, photocopiers, and printers
  • perform light maintenance and troubleshooting
  • Complete word processing as needed including letters, memos, and labels
  • Handle highly sensitive and confidential information with professionalism and discretion
  • Perform other duties as needed
