This particular role is integral in maintaining smooth operations within the SERVPRO office, offering critical administrative support to both the field teams and office management. As an Office Administrator at SERVPRO, your role will be central to the coordination of schedules, processing of documentation, financial administration, and overall office management. You will handle incoming phone calls with professionalism, providing customers with accurate information or routing calls to the appropriate personnel while maintaining detailed logs. Scheduling coordination is a key responsibility to ensure balanced job assignments and optimal crew utilization, which is essential for timely service delivery.

You will manage the Work-in-Progress (WIP) board by updating staff on daily schedules and job statuses to keep all teams informed. Meticulously handling job file management is vital, including the completion of First Notice of Loss (FNOL) documentation, preparation of paperwork for estimators and crew, and entering electronic estimates using SERVPRO’s specialized software. The role demands keen attention to detail in managing job files to ensure all necessary and pre-existing documentation is accurate and electronically transferred to Certificate of Insurance (COI), minimizing errors and supporting compliance.

Communication is another crucial aspect of this position, requiring you to keep constant contact with field teams and COIs regarding job progress, satisfaction, and scheduling of re-services. You will confirm and coordinate subcontractor activities, guaranteeing transparency and timely updates in scheduling, job progress, and payments.

Financial duties include billing customers promptly for services rendered, processing payments and deposits accurately, and managing accounts receivable to maintain the company’s cash flow. You will also be responsible for ensuring that invoices, paperwork, and payments are aligned with job completions.

In addition to these operational responsibilities, you will maintain the company’s file system and calendar, managing incoming and outgoing communications such as mail, e-mails, and faxes efficiently. Reviewing and routing company bulletins to appropriate parties will ensure compliance and foster seamless information dissemination.

  • Bill customers promptly for services rendered
  • Process customer payments, prepare deposits, and reconcile payments ensuring accurate account application
  • Manage Accounts Receivable to keep it current
  • Maintain file system ensuring paperwork accessibility and organization
  • Manage company calendar and schedule meetings and travel arrangements
  • Handle outgoing and incoming mail, email, and faxes timely
