Big Spring Intermediate 5th & 6th Grade Campus is a well-respected educational institution dedicated to providing a supportive and efficient learning environment for its students. The role of Receptionist/Clerical Assistant at Big Spring Intermediate 5th & 6th Grade Campus is a vital position within the school’s administrative team. Under close supervision, this role involves providing comprehensive reception and clerical support crucial to the efficient operation of the campus office. The selected candidate will be the first point of contact for visitors and callers, requiring excellent interpersonal and communication skills to represent the school positively. In this capacity, the assistant will be responsible for managing incoming phone calls, greeting visitors, maintaining visitor logs, and assisting in student check-in and check-out processes.
Additionally, the Receptionist/Clerical Assistant will handle various clerical duties such as preparing student identification cards, bus passes, and parking stickers, sorting and distributing mail, messages, and important documents. The role demands proficiency in keyboarding and operating a multi-line phone system, as well as the ability to organize and maintain accurate records and reports. The ideal candidate should demonstrate strong organizational skills, attention to detail, and the ability to follow detailed written and verbal instructions meticulously. The position also requires maintaining confidentiality, adhering to district safety protocols, and managing multiple tasks efficiently in a fast-paced environment.
This role does not involve supervisory responsibilities but requires coping with mental demands including frequent interruptions and maintaining emotional control under stress. Physical aspects of the job include prolonged sitting, occasional bending, stooping, pushing, pulling, and twisting, with some light lifting involved. The ability to work flexible, sometimes irregular hours, may also be necessary to accommodate school events or requirements. Job Duties
- receive and direct incoming calls take reliable messages and route to appropriate staff
- greet and direct campus visitors maintain visitor log and issue visitor passes
- assist parents in checking students in and out of school
- prepare and distribute student identification cards bus passes and parking stickers
- assist with the receipt and distribution of student materials including homework requests
- receive sort and distribute mail messages documents and other deliveries
- provide clerical assistance as needed including assisting with the scheduling of appointments
- compile maintain and file all reports records and other documents as required
- maintain confidentiality
- follow district safety protocols and emergency procedures
