The Receptionist will be the first point of contact for all visitors and callers, embodying the face of our brand and setting the tone for their experience with our company. This individual will be responsible for greeting guests promptly upon arrival and directing them efficiently to the appropriate personnel and office spaces. It is crucial that the receptionist maintains a warm and friendly demeanor while also upholding the highest standards of professionalism. The role also involves answering, screening, and forwarding incoming phone calls to ensure that inquiries are addressed promptly and appropriately. A tidy and well-stocked reception area must be maintained at all times, providing guests and staff with all necessary materials such as forms, brochures, and stationery.

In addition to front-desk interaction, the receptionist is entrusted with sorting and distributing daily mail and deliveries, maintaining office security by managing visitor access and record logs, and updating calendars with scheduled meetings. This role includes performing other clerical duties like filing, photocopying, transcribing, and faxing, which are essential to supporting the administrative functions of the office. The receptionist will also respond to basic inquiries in person, over the phone, or via email, conveying information accurately and professionally. Flexibility is required to handle additional tasks as assigned by management, making this role integral to the seamless operation of the office. Job Duties

  • Greet and welcome guests as soon as they arrive at the office
  • direct visitors to the appropriate person and office
  • answer, screen, and forward incoming phone calls
  • ensure reception area is tidy and presentable, with all necessary stationery and material such as pens, forms, and brochures
  • provide basic and accurate information in-person and via phone/email
  • receive, sort, and distribute daily mail/deliveries
  • maintain office security by following safety procedures and controlling access via the reception desk such as monitoring logbook and issuing visitor badges
  • update calendars and schedule meetings
