Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or phone operator role preferred
  • Proficiency with phone systems and basic office technology
  • Strong verbal communication skills
  • Ability to multitask and stay organized
  • Basic computer literacy, including MS Office applications
  • Ability to maintain professionalism and composure in a busy office environment

Job Qualifications

  • Previous experience in a similar front desk or switchboard role preferred
  • Proficient in phone systems and basic office equipment
  • Excellent verbal communication and listening skills
  • Professional and courteous telephone manners
  • Strong organizational and multitasking abilities
  • Basic computer skills, including MS Office (Word, Outlook)
  • Ability to remain calm and composed in a busy environment

Job Duties

  • Answer, screen, and route incoming telephone calls promptly, politely and professionally
  • Provide callers with basic information such as office location, hours, and services
  • Take accurate messages or route to voicemail when staff are unavailable
  • Monitor and manage multiple phone lines simultaneously
  • Maintain an up-to-date directory of staff extensions and contact details
  • Notify appropriate personnel of incoming calls
  • Report technical issues with the phone system to IT or the service provider
  • Follow emergency and safety procedures when necessary
