Job Duties

  • Answer telephone, screen and direct calls
  • provide information to callers
  • greet persons entering organization
  • direct persons to correct destination
  • deal with queries from the public and customers
  • monitor visitor access and maintain security awareness
  • provide general administrative and clerical support
  • prepare correspondence and documents
  • manage mail and deliveries including creating shipment labels, setting up packaging and sorting through received mail
  • assist in conference room scheduling and resolve schedule conflicts
  • assist in coordinating meetings and organize catering
  • provide support in office-related events
  • control inventory relevant to reception and breakroom areas
  • tidy and maintain the reception area
  • assist Office Manager and HR with new hire onboarding tasks including setting up office badge, creating desk name tag, and ordering essential desk equipment
  • manage and update telephone list, client list, and related mailing lists
  • assist with fulfillment projects by assisting with printing, stuffing, binding and outbound mailing tasks
  • assist with special projects as needed
