Job Requirements
- High school diploma or equivalent
- between one and three years experience as a receptionist in a law firm or client-service organization
- ability to operate a multi-line telephone system
- excellent written and oral communication skills
- ability to multitask and prioritize

- courteous and professional demeanor
- knowledge of Microsoft Outlook, Word and basic Excel

Job Duties
- Welcome clients, vendors and visitors to the office in a professional manner and notify the appropriate parties of their arrival
- maintain visitor log as requested
- open the office every weekday
- answer all incoming calls to the main phone line and direct calls appropriately
- deliver incoming faxes to attorneys and assistants
- perform light typing including data entry
- schedule conference rooms and visiting offices in coordination with administrative staff
- maintain calm in the event of hostile or difficult situations and administer appropriate emergency procedures
- sort incoming mail and deliveries
- deliver afternoon mail to postal carrier
- verify timely delivery of all overnight packages sent out by office personnel the previous day and notify sender of any failed deliveries
- arrange ground transportation for attorneys and clients as requested
- arrange catering and individual meal orders for meetings as requested and set up conference rooms in coordination with administrative staff
- assist with other projects such as mailings, labels, typing and entering attorney time
- prepare check requests and reimbursement forms as requested
- track office supply inventories and replenish supplies timely
- track marketing material inventory and prepare marketing brochures for speaking engagements
- scan and copy documents for uploading to the document management system as requested
- maintain copiers with paper and toner daily
- maintain and update periodicals in library
- interface with building and parking management, engineering personnel and security
- assist with overall office appearance
- perform errands and other duties as needed
