Job Requirements

  • High school diploma and/or general education degree (GED) equivalent
  • Experience in office administration or similar role preferred
  • Strong communication and interpersonal skills
  • Ability to multi-task and prioritize work effectively
  • Proficiency in computer applications and office equipment
  • Ability to handle confidential information with discretion
  • Professional demeanor and appearance
  • Bilingual in Spanish is a plus but not required

Job Duties

  • Greet and assist customers, visitors, vendors
  • Answer and direct phone calls in a polite, friendly, and professional manner
  • Handle customer complaints with integrity and poise and refer dissatisfied customers to appropriate individuals
  • Purchase supplies
  • Keep detailed and accurate records of visitor requests and calls received
  • Operate standard office equipment including computer and copy machine
  • Take inventory of supplies and restock as needed
  • Receive cash, checks, and credit card payments from customers and record amounts received
  • Make change and issue receipts to customers
  • Approve new charge accounts and oversee collection of past due accounts
  • Prepare daily bank deposit and cash report
  • Compute customer bills
  • Provide refunds and/or credit memorandums to customers for returned merchandise or as directed
  • Provide clerical and secretarial assistance to departments
  • Open and route incoming mail, answer correspondence, and prepare outgoing mail
  • Maintain professional appearance and neat work area
  • Keep work area neat and clean
  • Perform other tasks as assigned
