Job Duties
- Operate a multi-line telephone switchboard and direct calls as appropriate
- receive, direct and relay telephone messages and fax messages
- greet, assist and direct clients to the appropriate staff member
- actively contribute to the reception team to complete tasks, meet goals and support clients
- actively listen to team members and respect ideas to support agency teams
- be flexible and adapt well to change
- possess interpersonal skills to create a pleasant experience for customers
- ensure the reception area is presentable at all times
- refer walk-in clients to the Client Response Associate when appropriate
- receive and open general correspondence and maintain the general filing system
- maintain and update agency phone directory
- reserve meeting/conference rooms for staff
- maintain, coordinate and receive items in the reception area including incoming deliveries and agency donations
- assist with creating and printing office badges for new hires
- operate office machinery including computer, phone, fax, shredder and photocopiers
- work with individuals and families in crisis, homelessness, substance use, and/or mental health issues
- maintain cultural competency and appropriate boundaries with clients
- submit service requests for equipment issues and maintain inventory of supplies
- prioritize and manage time effectively to complete varied tasks
- perform other duties as assigned
