Job Requirements

  • Two years related experience and or training or equivalent combination of education and experience
  • continuing education is expected
  • pass a criminal background check conducted through Ameriprise
  • effective friendly communication skills with managers, clients, customers, and the public
  • excellent written and verbal communication skills
  • proficiency with MS Excel, MS Word, Outlook, and Adobe
  • familiarity with QuickBooks is desirable
  • high integrity and trustworthiness

Job Duties

  • Open and close lobby suite daily
  • greet clients upon arrival and extend hospitality
  • make fresh pots of coffee for clients and staff
  • perform mail duties including pick up and drop off mail within the building
  • sort mail and add to mail room bins
  • maintain and review the Ameriprise Mail Log's updated policies
  • deliver checks to advisors within the office
  • mail checks to home office headquarters if needed
  • work with compliance on any mail issues or concerns
  • manage multi-line phone systems and direct calls to appropriate personnel
  • serve as point of contact for phone or internet issues
  • manage meeting calendar to track client visits
  • maintain office supplies and order more when needed
  • maintain conference room schedule
  • collaborate with third party vendors to ensure office equipment functionality and bill payment
  • coordinate with building management for maintenance calls and new badges/keys for staff
  • deliver all incoming packages at the front desk
  • manage new employee hires regarding office access, keys, phones, and update phone and email lists
  • perform basic bookkeeping duties including scanning invoices, creating invoices for advisors through QuickBooks, managing building rent and office rent
  • work with supervisor on miscellaneous LLC jobs and projects
