Job Requirements
- High school diploma or equivalent
- Prior experience in administrative support or customer service roles
- Ability to handle multiple calls and scheduling duties professionally
- Proficient in using office software and company-specific automation tools
- Strong interpersonal and written communication skills
- Detail oriented with the ability to maintain accurate records and databases
- Knowledge of basic billing, payment processing, and accounts receivable management
- Ability to work independently and as part of a team in a fast-paced environment
Job Qualifications
- High school diploma or equivalent
- Previous experience in administrative or office coordination roles preferably in service or restoration industry
- Proficiency with office automation software such as SERVPRO Office Automation (SOA)
- Strong communication and customer service skills
- Ability to manage multiple tasks and prioritize effectively
- Basic financial administration knowledge including invoicing and payment processing
- Organizational skills for managing schedules, files, and correspondence
- Attention to detail for accurate job file and financial documentation
Job Duties
- Answer phones, provide customer service, and maintain log of all calls
- Schedule coordination to ensure work is scheduled and crews utilized efficiently
- Manage Work-in-Progress (WIP) board and update staff on daily schedules and job statuses
- Complete FNOL documentation accurately in SERVPRO Office Automation (SOA)
- Prepare job paperwork for crews and estimators
- Enter estimates by converting estimator's scope into electronic form
- Manage job file documentation ensuring accuracy and completeness
- Communicate job progress and status to COI and customers
- Confirm subcontractor activities including scheduling and payments
- Perform job completions including invoice preparation and paperwork distribution
- Bill customers for services and ensure timely invoicing
- Process customer payments and prepare bank deposits
- Reconcile payments and manage commission payments
- Manage Accounts Receivable to keep it current and improve cash flow
- Maintain office file systems in organized manner
- Manage company calendars, schedules, meeting bookings and travel arrangements
- Handle incoming and outgoing mail, emails, and faxes
- Review and route bulletins ensuring compliance
- Maintain appropriate levels of office and general supplies
