Job Requirements

  • High school diploma or G.E.D.
  • minimum of one or more years of administrative experience or an equivalent combination of education and experience
  • intermediate skills in Microsoft Outlook
  • familiarity with multi-line phone systems and voicemail management
  • knowledge of Microsoft Office including Outlook, Teams, Excel, and Word
  • strong verbal and written communication skills
  • excellent organizational and multitasking abilities
  • ability to maintain confidentiality and discretion
  • ability to lift and carry up to 20 pounds
  • ability to sit for extended periods
  • ability to use hands and fingers for typing and handling office equipment
  • friendly and proactive attitude

Job Qualifications

  • High school diploma or G.E.D. plus a minimum of one or more years of administrative experience or an equivalent combination of education and experience
  • intermediate skills in Microsoft Outlook for scheduling and calendar coordination
  • familiarity with operating a multi-line phone system or switchboard including routing calls and managing voicemail
  • knowledge of personal computer software programs including Microsoft Office (Outlook, Teams, Excel, Word)
  • strong verbal and written communication skills
  • excellent organizational and multitasking abilities
  • ability to maintain confidentiality and handle sensitive information with discretion
  • demonstrates integrity and sound judgement when handling responsibilities such as ordering office supplies
  • friendly, proactive, learning and service-oriented mindset

Job Duties

  • Greet and assist visitors, vendors, and team members with professionalism and warmth
  • manage visitor access, issue badges, and support building security protocols
  • answer and route incoming calls and emails to appropriate team members and departments including the Raley's Customer Service Center
  • assist with department administrative tasks and basic accounting processes such as invoicing and check processing
  • maintain organization of department records
  • assist with formatting basic reports and sharing internal communications
  • occasionally assist with scheduling and coordinating meetings for leadership including room bookings, calendar invites, and room setup
  • assist with office supply inventory and place orders as needed
  • may on occasion assist with mailroom duties
  • foster strong communication and collaborative working relationships with colleagues, visitors, and customers to support a positive and productive office environment
