Job Requirements
- High school diploma or G.E.D.
- minimum of one or more years of administrative experience or an equivalent combination of education and experience
- intermediate skills in Microsoft Outlook
- familiarity with multi-line phone systems and voicemail management
- knowledge of Microsoft Office including Outlook, Teams, Excel, and Word
- strong verbal and written communication skills
- excellent organizational and multitasking abilities
- ability to maintain confidentiality and discretion
- ability to lift and carry up to 20 pounds
- ability to sit for extended periods
- ability to use hands and fingers for typing and handling office equipment
- friendly and proactive attitude
Job Qualifications
- High school diploma or G.E.D. plus a minimum of one or more years of administrative experience or an equivalent combination of education and experience
- intermediate skills in Microsoft Outlook for scheduling and calendar coordination
- familiarity with operating a multi-line phone system or switchboard including routing calls and managing voicemail
- knowledge of personal computer software programs including Microsoft Office (Outlook, Teams, Excel, Word)
- strong verbal and written communication skills
- excellent organizational and multitasking abilities
- ability to maintain confidentiality and handle sensitive information with discretion
- demonstrates integrity and sound judgement when handling responsibilities such as ordering office supplies
- friendly, proactive, learning and service-oriented mindset
Job Duties
- Greet and assist visitors, vendors, and team members with professionalism and warmth
- manage visitor access, issue badges, and support building security protocols
- answer and route incoming calls and emails to appropriate team members and departments including the Raley's Customer Service Center
- assist with department administrative tasks and basic accounting processes such as invoicing and check processing
- maintain organization of department records
- assist with formatting basic reports and sharing internal communications
- occasionally assist with scheduling and coordinating meetings for leadership including room bookings, calendar invites, and room setup
- assist with office supply inventory and place orders as needed
- may on occasion assist with mailroom duties
- foster strong communication and collaborative working relationships with colleagues, visitors, and customers to support a positive and productive office environment
