Job Requirements
- Equivalent to the completion of the twelfth grade
- some general clerical or office experience involving public contact
- possession of an appropriate, valid driver's license
- ability to perform physical activities including standing or sitting for prolonged periods, stooping, bending, kneeling, lifting moderate to heavy weights, and operating office and mailing equipment
- ability to handle frequent interruptions and high degree of public contact
- ability to follow oral and written instructions
- availability to work a 40-hour week, Monday to Friday, 9:30 a.m. to 6:00 p.m., with occasional evenings and weekends
Job Qualifications
- Equivalent to the completion of the twelfth grade

- knowledge of office procedures, methods, and equipment including computers and applicable software applications
- understanding of public relations principles and proper receptionist and telephone etiquette
- knowledge of mailroom procedures, postal regulations, and postal equipment operation
- ability to operate office equipment including computers with word processing, spreadsheet, and database applications
- ability to adapt to changing technologies and learn new systems
- excellent verbal and written communication skills
- ability to work independently and under pressure
- ability to maintain effective working relationships
- sensitivity and understanding of diverse populations in a community college setting
Job Duties
- Answer all calls and provide prompt, courteous, and accurate service
- screen calls to determine proper destination
- make station connections
- take messages and relay information promptly
- handle emergency calls and procedures in accordance with established policies and procedures
- monitor the emergency radio as necessary
- greet general public, students, and staff at the counter
- provide directions and appropriate general information
- ensure that the counter is equipped with relevant informational materials and office supplies
- maintain related calendar of activities and schedules
- receive, sort, distribute, and deliver outgoing, incoming, and interoffice mail
- process outgoing mail
- weigh, meter, and affix correct postage
- accept all postal deliveries including special handling
- assist and advise staff with mail regulations, preparation, and costs
- maintain various records related to mail services
- set-up and assign mail boxes to staff
- distribute communication materials to staff
- oversee and operate assigned office equipment including production copier and fax machines
- order and maintain office supplies
- operate, clean, and perform minor adjustments on office and postal equipment
- assist staff with phone issues and voice-mail setup
- accept paperwork from clients and place items in staff mailboxes
- assign parking permits and distribute parking passes
- issue copy codes to new staff and maintain listing
- assist in auditing bills for telephone and courier services
- send out class schedules and college catalogs
- perform other related clerical tasks as assigned
- maintain necessary files, records, and statistics for mailroom and related equipment
