Job Duties

  • Enthusiastically welcome all guests, anticipate their needs, assist with arrival, office orientation, and departure
  • Create memorable experiences with a warm, welcoming personality
  • Take initiative to proactively address guest needs and answer questions
  • Manage general inquiries through shared email inbox and respond to all email correspondence in a timely manner
  • Share personal knowledge of the office services, spaces, and amenities available to guests
  • Collaborate with team members to communicate trends in guest services and develop streamlined processes
  • Manage conference room bookings and prioritize based on executive hierarchy
  • Assist with minor event planning and meeting space set-up
  • Assist caterers and support vendor access
  • Track visitors including vendors, employees, and guests
  • Manage parking validations for approved visitors
  • Maintain security access card inventory and distribution
  • Support annual management plan with key performance indicators
  • Create work order requests as needed
  • Identify best practices to enhance facility performance
  • Guide employees in reserving meeting rooms
  • Provide backup support for workplace associates
  • Act as escalation point for technology and facility issues including WIFI, A/V equipment, and teleconferencing
