The Receptionist & Guest Services Coordinator position is a freelance role, offering a competitive pay rate of $24.64 per hour. The contract is set for 12 months, with the potential for extension depending on performance and business needs. This role is based onsite five days a week, Monday through Friday, from 8:30 AM to 5:30 PM, inclusive of a one-hour lunch break. This scheduling ensures consistent and reliable coverage at the front desk and supports seamless communication within the company.
As the first point of contact, this role is critical in shaping the initial impression of the company for all guests and employees entering the building. The coordinator is responsible for managing all front desk operations, including greeting visitors with a warm and professional demeanor, answering and routing phone calls via the company’s main switchboard, and managing inquiries related to transportation, luggage storage, and directions. The role demands a service-minded individual with excellent communication skills and a polished, energetic presence to maintain a positive visitor experience.
In addition to managing front desk activities, the coordinator supports the guest services and facilities teams by handling project-based work, submitting and tracking service requests, and coordinating with security for guest access control. The role also includes occasional duties such as providing facility tours for guests and VIPs and escorting visitors as necessary. Strong multitasking and organizational skills are essential due to the varied nature of responsibilities encountered throughout the day.
The ideal candidate has a friendly, outgoing, and empathetic personality, capable of addressing customer questions and concerns effectively while documenting complaints using internal tracking systems. Proficiency in Microsoft Office and Windows operating systems is required, along with the physical capacity to lift and transport items weighing up to 40 lbs on occasion. Familiarity with the automotive industry or terminology and experience supporting VIP or luxury brand environments are considered advantageous but not mandatory.

Job Duties
- Greet all guests and employees with warmth and professionalism
- Manage front desk inquiries, including transportation requests, luggage storage, and directions
- Answer and route calls via the companys main switchboard
- Address customer questions and concerns
- document complaints using internal tracking systems
- Issue guest passes and coordinate access with the Security team
- Support the Facilities team by submitting and tracking service requests
- Assist the Guest Services and Customer Relations teams with project-based work
- Provide occasional facility tours for guests and VIPs
- Escort guests throughout the facility as needed
