The manager is seeking an experienced scheduler with 2 to 4 years of recent scheduling experience specifically related to radiology departments involving PET/CT, CT, MRI, Ultrasound, Angio, and X-ray. The ideal candidate should also have recent experience, preferably within the last 6 to 12 months, working with the Epic electronic health record system, which is strongly preferred.

The Radiology Scheduler / Tech Assistant II plays a pivotal role in supporting imaging operations by coordinating patient scheduling and assisting with patient care duties under direct supervision. The responsibilities include scheduling imaging exams across multiple modalities, coordinating interventional procedures with radiologists and nursing staff, verifying authorizations, physician orders, CPT codes, and insurance information, including verifying medical necessity for Medicare patients. This position also involves performing clerical duties such as preparing charts and documentation, entering exam data into IT systems like ITS and Meditech, scanning and maintaining records, filing imaging records, and managing legal documentation.

Patient interaction is an essential part of the role where the scheduler must interview and pre-register patients, explain procedures and preparation instructions, obtain required consents and insurance documentation, and communicate effectively with diabetic PET/CT patients prior to appointments. Additionally, the position requires assisting technologists by supporting patient flow, helping with patient transport and positioning, and ensuring a friendly and professional communication environment.

The role demands excellent multitasking abilities in a fast-paced healthcare setting while maintaining patient confidentiality and compliance with Medicare Secondary Payer guidelines and the Three-Day Rule. Job Requirements

  • Current BLS (Basic Life Support) certification required

Job Duties

  • Schedule imaging exams across multiple modalities including PET/CT, CT, MRI, NM, Ultrasound, Angio, X-ray, Mammography
  • Coordinate interventional procedures with radiologists and nursing staff
  • Obtain authorizations, physician orders, CPT codes, and ICD-9 codes
  • Verify medical necessity for Medicare patients
  • Review next-day imaging schedules and ensure accuracy of orders
  • Interview and pre-register patients
  • collect demographic and financial information
  • Explain procedures and provide preparation instructions
  • Obtain required consents, signatures, and insurance documentation
  • Monitor and communicate with diabetic PET/CT patients prior to appointments
  • Determine primary and secondary insurance coverage
  • Prepare charts and documentation for procedures
  • Enter exam data into systems such as ITS and Meditech
  • Scan physician orders and maintain accurate records
  • Manage subpoenas and legal documentation
  • File imaging records and X-ray jackets
  • Print or burn CDs of imaging studies via PACS system
  • Transport patients using wheelchair, stretcher, or ambulatory assistance
  • Assist with lifting and positioning patients safely
  • Support technologists and maintain patient flow
  • Assist physicians with image viewing on PACS
  • Answer calls professionally and courteously
  • Coordinate with physician offices, radiology staff, and other departments
  • Ensure clear, friendly, and professional communication always
