Job Description

The City of Glendale, Arizona, is a vibrant and culturally diverse municipality located on the west side of the Phoenix metropolitan area. The Glendale Police Department plays a critical role in maintaining this safety and community spirit. Comprising 458 sworn officers and 166 professional staff, the department operates through three major bureaus and six divisions, including Administrative Services, Special Operations, Criminal Investigations, Support Services, Gateway Patrol, and Foothills Patrol. This dedicated team works 24/7 to ensure that Glendale remains secure and its residents can thrive without concern.

The position being offered supports community safety through specialized events staffing and scheduling. This is an advanced-level coordination role responsible for managing public safety staffing and schedules that support both Special Events and Patrol Divisions. The role requires the talented individual to ensure appropriate staffing levels are maintained to meet operational demands and community needs while preserving the integrity of scheduling systems and managing timekeeping.

Key responsibilities include coordinating staffing for major city events, stadium games, and arena activities, partnering with event venues and other city departments, and supporting contract compliance and billing accuracy for event operations. The position also involves coordinating training, scheduling, and equipment for Special Events Traffic Controllers, maintaining organized and accurate staffing records and data for audits and reporting, and providing general administrative support.

Additionally, this role serves as the special events scheduling systems expert, employing city systems to plan, schedule, and monitor staffing for daily operations and special events. The individual will also be involved in recruitment and onboarding activities, maintaining communication with candidates and ensuring the completion of required processes.

The salary range for this position is $26.21 to $39.31 per hour, which equates to an annual salary range between $54,514.98 and $81,772.86. Employment benefits are provided through the City of Glendale programs, designed to promote employee wellness, security, and professional growth.

Job Requirements

  • Three years of progressively responsible experience providing moderately complex administrative support and management assistance, preferably for a law enforcement agency
  • Any equivalent combination of education, training and experience that provides the required knowledge, skills and abilities is qualifying
  • One year of relevant experience may be substituted for each year of required education
  • Successful completion of drug and alcohol testing prior to employment and ongoing as required by the City of Glendale Substance Abuse policy
  • Post-offer physical assessment required
  • Valid Arizona driver’s license depending on area of assignment
  • Ability to operate city vehicles depending on area of assignment

Job Qualifications

  • Knowledge of records management and data tracking systems
  • Knowledge of customer service practices and standard office procedures
  • Knowledge of basic accounting and billing principles
  • Ability to analyze staffing needs and apply established scheduling guidelines to meet operational requirements
  • Ability to apply established procedures and problem-solving methods in a fast-paced 24/7 environment
  • Ability to communicate effectively both orally and in writing with all levels of personnel, the public and a variety of internal and external stakeholders
  • Ability to maintain accuracy and attention to detail in complex scheduling and data management tasks
  • Ability to display courtesy and tact in dealing with the public and other personnel

Job Duties

  • Coordinates public safety staffing for major city events, stadium games, and arena activities
  • Partners with event venues, city departments, and outside agencies to align staffing needs and logistics
  • Builds and updates event staffing rosters to ensure the right people are in the right place at the right time
  • Supports contract compliance, billing accuracy, and documentation for event operations
  • Helps coordinate training, scheduling, and equipment for Special Events Traffic Controllers
  • Prepares and distributes key event materials, including NIMS forms for large-scale events
  • Maintains organized event records and staffing data to support reporting and auditing
  • Assists with timekeeping and procurement tasks and provides administrative support to the Special Operations Division
  • Serves as the special events scheduling systems expert, ensuring accuracy, reliability, and smooth system performance
  • Uses city systems to plan, schedule, and track staffing for daily operations and special events
  • Maintains clean, accurate records, databases, and documentation
  • Helps improve automated scheduling tools and workflows
  • Prepares and processes personnel actions for Special Events staff
  • Supports recruitment, hiring, and onboarding, including communication with candidates and coordination of required steps
