The Front Desk Receptionist role at Willis Automotive is a vital position that supports the dealership's administrative and customer service efforts. Working under the direct supervision of the Executive Office Manager, this role is responsible for warmly greeting customers, answering and directing telephone calls, and performing a variety of administrative tasks that keep the dealership running smoothly. This is a part-time position featuring lunch shifts from 11:00 AM to 2:00 PM Monday through Friday, additional afternoon shifts on Monday, Wednesday, and Thursday from 4:30 PM to 8:00 PM, and two Saturdays each month from 9:00 AM to 5:00 PM.

In this role, the receptionist manages critical processes such as inputting new vehicle invoices into company software, maintaining inventory and in-transit reports, and handling daily customer payment receipts through the software system. Beyond these administrative duties, the receptionist also enhances the customer experience by managing the coffee bar, offering refreshments and snacks to guests, and ensuring seamless communication throughout the dealership by efficiently directing visitors and phone calls.

The position demands a high level of organization and multitasking ability, as well as a keen eye for detail to ensure that daily financial processes like credit card clearing are accurately completed. Collaboration is also key, and the receptionist frequently assists Sales Managers and Office Managers with various projects and tasks while guiding store staff in proper product inventory procedures.

Job Duties

  • Input new vehicle invoices in the company software and create document packets
  • Regularly maintain current inventory report and in-transit report
  • Receipt all customer payments daily into the company software program
  • Manage the coffee bar and assist guests with refreshments and snacks
  • Greet guests and direct them to the appropriate area or employees
  • Answer phones and direct calls throughout the dealership
  • Ensure credit cards are cleared out at the end of each day
  • Assist Sales Managers with assigned tasks or projects
  • Instruct store staff on procedures for locating and utilizing product inventory
  • Provide additional support to Sales and Office Managers as needed
