The Project Coordinator, Venues position at Encore plays a critical role in the planning and successful execution of small events or components of larger events within various venue settings such as hotels and convention centers. This role reports directly to the designated Venue Operations lead and bridges the gap between sales, operations, and production teams to ensure events not only meet client expectations but are also profitable and compliant with Encore's rigorous Production Process and Technical Standards. The Project Coordinator is responsible for organizing production schedules, managing labor and subcontractor requirements, and ensuring smooth communication among crew members, clients, and vendors.
This position demands an individual with a strong technical background and excellent communication skills since the coordinator will actively review event sales documents, manage client relationships, and be involved in on-site execution, including operating equipment and supporting crews as needed. A significant part of the Job includes ensuring that all stakeholders, from clients to technical teams, are well-informed about event logistics and any real-time changes, thereby safeguarding the quality of delivery and operational efficiency.
Additionally, the Project Coordinator contributes to administrative functions such as post-event reporting, timesheet validation, and invoice processing, ensuring events are accounted for accurately and efficiently. They also support ongoing training efforts for the local and regional workforce, helping to raise the bar in technical proficiency and service delivery. Job Duties
- Prepare and communicate production and labor schedules sub-rental requirements project scope execution plan and individual responsibilities to lead crewmembers vendors and venue
- Maintain focus on client needs by attending client meetings creating and maintaining organized show files and responding to client concerns questions and problems
- Review sales documents to confirm that the equipment and technical positions to ensure they meet client’s needs
- Communicate event execution plan and on-site changes including billing production schedules and client requests
- Review all necessary information with crew leads to ensure a successful and profitable event
- Operate equipment and assist crew as necessary qualified
- Mentor Encore team members on event execution and best practices to help improve the local knowledge base and experience in the market
