The role of Project Coordinator is essential in overseeing project processes from start to finish. This person will be responsible for managing the flow of purchase orders, coordinating product deliveries, handling invoicing, and ensuring that warranty manuals are properly submitted once projects are completed. The Project Coordinator will act as a vital link between the estimating department, sales teams, contractors, vendors, warehouse management, and on-site superintendents. This cross-functional interaction demands excellent communication skills and the ability to manage multiple moving parts efficiently. This role requires someone who can work meticulously, maintain organized schedules, and proactively address potential issues such as back orders or discontinued products by quickly communicating solutions to management and clients. The ability to manage job inventory tightly to maximize profitability is also critical. Additionally, the Project Coordinator is responsible for coordinating shipping dates, building accurate packing slips in advance, and ensuring that all delivery stages are planned carefully to meet project deadlines. Invoice processing after delivery falls under their purview, requiring prompt action to maintain smooth financial operations. Job Requirements

  • High school diploma or equivalent
  • Minimum of 2 years of experience in project coordination or related role
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Ability to work full-time in office Monday through Friday
  • Proficiency in Microsoft Office and project management tools
  • Detail-oriented with analytical problem-solving skills

Job Qualifications

  • Proven experience in project coordination or related field

  • Ability to manage multiple tasks and priorities effectively
  • Experience with purchase order generation and inventory management
  • Familiarity with delivery schedule coordination
  • Proficient in using project management software and Microsoft Office Suite

Job Duties

  • Work closely with estimating department, sales, and other key personnel to successfully complete the project
  • Work with sales and contractors to build out delivery schedules
  • Generate POs and communicate delivery schedules with vendors to ensure product arrives to our warehouse in a timely enough manner to stage the delivery
  • Manage job inventory tightly to ensure maximized profitability
  • Keep open communication to vendors as soon as changes in dates are known
  • Communicate immediately with management and customer in the event of back orders or discontinued product to find a solution
  • Coordinate shipping dates with the Warehouse Manager and build accurate packing slips in advance to allow ample delivery staging time
  • Communicate with on-site superintendents once product is shipped and confirm delivery
  • Invoice customer immediately upon delivery of product or shipment via carrier
  • Keep an organized ship schedule updated weekly
  • Request and submit warranty manual once the job is completed
