The Project Operations Coordinator role based in San Francisco, CA, is a six-month contract position with an onsite working arrangement. This role plays a crucial part in ensuring the smooth operation and administration of ongoing projects, supporting Project Managers and project teams by handling various administrative and operational tasks. The successful candidate will work on projects of low to medium complexity, contributing to the efficient launch, execution, and reporting of project activities. Responsibilities focus on providing administrative support, managing documentation control, coordinating project meetings, and maintaining records related to project activities. The role includes organizing logistics such as meeting setups, catering, travel arrangements, and access coordination, facilitating communication both internally with staff and externally with customers. The Project Operations Coordinator is also responsible for handling project data management strategies, including archival and compliance audits of project documents on SharePoint. They play a pivotal role in supporting contractual obligations by preparing and managing Contract Data Requirements Lists (CDRL), tracking project deliverables, and supporting the submission of contractual deliverables through various platforms.

Job Duties
- Support the launch of new projects by following project initiation instructions
- support day-to-day office services for temporary office locations
- coordinate documentation control activities with customers and project managers
- schedule project meetings, prepare agendas, record attendance and minutes, update action item logs
- organize meetings, meeting rooms and catering arrangements
- maintain out-of-office records for staff
- assist in preparation and completion of weekly and monthly reports
- arrange visitor badges and wireless internet access
- make travel and visa arrangements for staff
- raise purchase requisitions and process accounts payable invoices
- assist in acquiring access to Hitachi applications
- support the shipping and receiving of documents
- support project team building activities and coordinate large events
- maintain correspondence tracking logs and follow up on communications
- proofread and edit documents
- apply project data management strategy and audit project data repository
- keep organizational charts and project lists updated
- prepare and update contract data requirement lists and milestone charts
- track project deliverables to ensure on-time delivery
- support submission of contractual deliverables
- assist project managers in project progress reviews
- provide backup support for other project coordinators
- ensure proper handover and backup arrangements before leave
- keep project-specific process descriptions and guidelines updated
