Job Description
The City of Stockton is a vibrant municipality dedicated to enhancing the quality of life for its residents through a wide range of community services. As a city government, Stockton provides numerous recreational, cultural, and educational programs, alongside essential public services aimed at fostering a strong and inclusive community. The Community Services Department specifically focuses on recreational and library programs, facilities, and services that serve the diverse population of Stockton. This department is committed to supporting residents by offering accessible and enriching activities that promote wellness, learning, and social engagement.
The City of Stockton is currently seeking a part-time Office Specialist to join its Community Services Department. This role is designed to support the department’s administrative functions by providing accurate and efficient processing of regular invoices from various service providers, utility companies, performers, and vendors. Additionally, the Office Specialist will assist with payroll processing for the department’s employees, contributing to the smooth operation of the department’s financial and administrative duties. Working up to a maximum of 960 hours per fiscal year, this position is classified as part-time, at-will, and non-exempt from the Fair Labor Standards Act (FLSA).
Under the general supervision of senior staff, the Office Specialist will perform a variety of routine to complex office support tasks. These include receptionist duties, typing, proofreading, record keeping, handling mail, scheduling meetings, preparing agendas and summaries, and conducting research that may involve arithmetic calculations. The role requires familiarity with office practices and procedures as well as the ability to operate standard office equipment, including computers and data entry devices. This position offers an opportunity for someone with strong organizational skills, attention to detail, and the ability to provide thorough administrative support in a governmental setting.
The ideal candidate will have a solid foundation in clerical or administrative office work, coupled with experience in data entry and payroll processing within a financial ERP (Enterprise Resource Planning) system or a related environment. Applicants must also possess a valid typing certificate demonstrating at least 50 net words per minute, certified within the last two years, reflecting proficiency and speed in typing for efficient task completion. Furthermore, new hires will be required to enroll and complete the City’s Office Support Certificate Program within three years to continue employment.
This position demands discretion, sound independent judgment, and the ability to manage multiple responsibilities while meeting deadlines. Candidates should be adept at using correct English grammar, spelling, and punctuation in business correspondence, have knowledge of basic record-keeping principles, business arithmetic, and standard administrative practices. The Office Specialist role is distinct from supervisory positions but may involve project leadership or relief leadership as required.
Employment with the City of Stockton comes with an expectation to comply with safety regulations, including passing a background check and fingerprinting. The working conditions may include some physical aspects, such as lifting materials weighing up to 30 pounds and performing tasks involving repetitive motions. Candidates must also be willing to work occasional evenings and weekends, ensuring flexibility to meet departmental needs.
In summary, this part-time Office Specialist position offers an excellent opportunity for an organized, detail-oriented professional eager to contribute to the Community Services Department’s mission of serving the Stockton community. The role combines administrative efficiency with community engagement, playing a crucial part in supporting the programs and services that improve the lives of local residents. Candidates looking to grow their administrative skills in a dynamic governmental environment will find this position rewarding and fulfilling.
