Job Requirements
- Completion of high school or basic education equivalency preferred
- Bilingual in Spanish/English a plus
- Medical or business office education or training desired
- Must be highly organized
- Ability to manage multiple assignments simultaneously
- Ability to communicate effectively with all internal and external stakeholders
- Ability to work in a fast-paced environment
- Commitment to providing concierge-level customer service
Job Qualifications
- Two or more years related experience in medical terminology or call center environment
- Ability to attain goals in a fast-paced, dynamic environment
- Ability to exercise judgment and discretion in maintaining strong partnerships
- Superior communication skills both verbal and written
- Working knowledge of computers, internet, and various software packages
- Typing speed of at least 45 words per minute
- Prior experience collaborating with functional leaders to drive action plans
- Highly organized with ability to manage multiple responsibilities
- Demonstrate positive behaviors supporting integrity, diversity, innovation, relationships, customer focus and teamwork
- Ability to communicate tactfully with managers and vendors to resolve problems and negotiate resolutions
Job Duties
- Process new referrals that arrive directly to the program in the manner best fitting the needs of the referral source
- Participate in morning check-in meetings with designated Admissions Coordinator and Admissions Manager to review staffing and scheduling needs for the day
- Provide concierge level customer service to every caller by implementing call center quality management standards
- Support the Admissions team to exceed program goals
- Establish a rapport and maintain effective relationships with all internal and external customers
- Enter accurate information to support data integrity in computer applications
- Respond accurately to all questions regarding services provided
- Offer and confirm same day or timely appointments based on patient and referral source requests
- Escalate matters to Admissions Manager when assistance or clarification is needed
- Follow the VITAS Admissions standards for contingency staffing
- Participate in ongoing training and development
- Notify Admissions staff and Marketing Representatives of all scheduled appointments and new referrals
- Utilize Appointment scheduling tools to facilitate the management of appointments
